PRIVACY POLICY
Beacon Pro Suite Privacy Policy
Effective October 7, 2026
Beacon Pro Suite is operated by Beacon Air & Heat, Inc. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when businesses and their authorized users use Beacon Pro Suite, including Central, Commerce, Connect, client portal features, integrations, and related services.
1. Information We Collect
Depending on the services you use, we may collect:
- Business and account information, such as company name, address, phone number, email address, user name, role, and account settings.
- Customer and operational information entered into the platform, such as contacts, properties, equipment, estimates, invoices, schedules, tasks, service history, documents, photos, and communications.
- Payment and transaction information needed to support purchases, invoices, and payment workflows. Payment card data may be processed by third-party payment providers rather than stored directly by Beacon Pro Suite.
- Technical and usage information, such as device type, browser, IP address, timestamps, feature usage, diagnostic logs, and security events.
- Information received from third-party integrations that your company chooses to connect.
2. Google Business Profile and Google API Data
If your company connects a Google Business Profile or another Google service, Beacon Pro Suite may access information that you authorize through Google OAuth. Depending on the permissions you approve, this may include business profile information, locations, reviews, review responses, account identifiers, and authorization data needed to maintain the connection.
We use Google data only to provide and improve features that you or your company request, such as:
- Displaying Google Business Profile reviews inside Beacon Pro Suite.
- Allowing authorized users to draft, publish, or manage review responses.
- Filtering, organizing, analyzing, and reporting on reviews and reputation activity.
- Creating website review displays or embedded review experiences when enabled by the business.
- Maintaining the authorized connection between the business and Google.
Beacon Pro Suite's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not sell Google user data, use Google user data for advertising, or use Google user data to build advertising profiles. We do not request or store a user's Google password.
3. How We Use Information
We may use information to:
- Provide, operate, maintain, and secure Beacon Pro Suite.
- Authenticate users and enforce company roles, permissions, and tenant boundaries.
- Process business workflows requested by authorized users.
- Provide customer support and respond to account or service requests.
- Monitor reliability, diagnose problems, prevent fraud or misuse, and improve platform performance.
- Comply with legal obligations and enforce our agreements.
4. How We Share Information
We do not sell personal information. We may share information with service providers and subprocessors that help us operate Beacon Pro Suite, such as hosting, authentication, communications, payment, analytics, and integration providers. We may also disclose information when required by law, to protect rights or security, during a business transaction, or at the direction of the business that controls the account.
Third-party services are governed by their own terms and privacy policies. Connecting an integration does not give Beacon Pro Suite broader rights to the third party's data than the permissions you authorize.
5. Data Retention and Deletion
We retain information for as long as reasonably necessary to provide the service, maintain legitimate business records, resolve disputes, meet legal obligations, and protect the platform. Retention periods may vary by data type, account configuration, contractual requirements, and applicable law.
Authorized businesses may disconnect integrations and may request deletion of account or personal information by contacting us through the Contact page. When Google authorization is revoked, Beacon Pro Suite will stop using that authorization and will delete or de-identify stored Google user data that is no longer needed for the authorized service, subject to legal or record-retention obligations.
6. Security
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No system can guarantee absolute security, and users are responsible for protecting their credentials and promptly reporting suspected unauthorized access.
7. Cookies and Similar Technologies
Beacon Pro Suite may use cookies, local storage, and similar technologies for authentication, security, preferences, session continuity, and essential application functionality. We may also use limited analytics technologies to understand product performance and usage.
8. Business Customer Responsibilities
Beacon Pro Suite is primarily a business-to-business service. Each customer organization is responsible for determining what information its users may enter into the platform, managing user access, and complying with laws applicable to its own customers, employees, and business records.
9. Children's Privacy
Beacon Pro Suite is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the service.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the effective date when material changes are made.
11. Contact Us
Questions, privacy requests, Google data requests, or deletion requests may be submitted through our Contact page.
